Executive Secretary Key Objective: As the Executive Secretary, you will provide essential administrative and clerical support to executives, managing schedules, communications, and tasks to ensure seamless operations. Key Responsibilities: Efficiently organize meetings, appointments, and conferences, ensuring all necessary materials are prepared. Skillfully draft, proofread, and distribute emails, memos, and correspondence on behalf of executives. Prioritize and track tasks for the executive team, ensuring deadlines are met and issues are addressed promptly. Manage executive expense reports, invoices, and financial documentation accurately. Handle incoming calls and communications, directing important matters accordingly. Assist in preparing and coordinating board meetings, including agenda preparation and minute-taking. Maintain databases and records for easy reference and systematic document handling. Requirements: Minimum Diploma degree in Secretarial, Business Administration, Office Management, or related field. 3-5 years of experience in a similar role supporting senior executives. Proficiency in office management software, especially Microsoft Office. Strong written and verbal communication skills. Excellent time management and multitasking abilities in a fast-paced environment. Attention to detail and accuracy in all tasks. Professionalism, integrity, and discretion in handling sensitive information. Interpersonal skills for effective stakeholder interaction. Problem-solving and critical thinking skills. Proficiency in English (Mandarin will be an advantage) and willingness to work at the head office in North Jakarta.
